Running the sheet each quarter

  1. On day 0, copy last quarter's sheet or clear the Status, Missing items and date columns. Set everyone to Not started and send the first requests. Set Last chased to today and Next chase to day 7.
  2. When a reply arrives, update Missing items. If nothing is left, set Status to Done and clear Next chase.
  3. On day 7, 14 and 21, filter for rows where Status is not Done. Send the matching template and update Last chased and Next chase.
  4. After day 21, set anyone still open to Needs a call and put the call time in Notes.
  5. After filing, you can add a Filed date column or archive the sheet as Q2-2026-27-chase.csv.

What each status means

StatusMeaning
Not startedYou haven't sent the first request yet
In progressYou've sent the request and are waiting for some or all items
DoneThe checklist is complete for this quarter, and the client is ready to file or already filed
Needs a callEmails haven't worked, or the client asked to talk

Keep Missing items accurate. An empty cell on an In progress row usually means you forgot to update it.
