Karbon or RecordsIn
Updated 25 October 2026.
RecordsIn makes this page. Last checked 25 October 2026. Names belong to their owners.
This page is for the owner of a small UK practice who is choosing between a practice management suite and a quarterly records chase. The Karbon lines below are quoted from Karbon's own pages.

The same Team annual price is on the UK pricing page. $59/month, per user, paid annually.
Depending on your location, you can pay for Karbon in US dollars, Canadian dollars, Australian dollars, British pounds, euros, Brazilian real, Mexican pesos, or South African rand.
GBP is one option in the currency menu. Pound amounts are not listed beside the dollar prices. This page does not convert the dollar prices into pounds, and it does not call either price cheaper.
The Team card lists Integrated Email, Workflow and To-Do Lists, Time Tracking & Budget Reporting, Billing, Payments and Engagements.
eSignature credits are priced apart from the per-user plan. Karbon eSignature credits come in bundles. The credits table has a column headed 100 and a price of $100.
Document management is included in every Karbon plan, so there's no separate fee.
How the client sends records
The practice starts a quarter from the quarter screen. RecordsIn emails that client's checklist and asks the client to reply with the records. After a practice has started once, RecordsIn can send the next checklist the day after the quarter ends.
The client does not log in. There is no client portal, and there is no page where the client uploads the files.
Reminders go out on day 7, day 14 and day 21. Each one lists only what is still missing. The day 21 email also asks the client for a call. RecordsIn does not send a reminder when nothing is still missing.
RecordsIn files each attachment to that client and that quarter. You download a ZIP of the accepted files. RecordsIn does not file with HMRC, and it does not ask for HMRC credentials. You file the quarterly update in the software you already use. See how that fits the software you already use.
RecordsIn builds the checklist from the client's income type. That is self-employment, UK property, or both.
Collaborate with clients in one streamlined workflow with tasks and document sharing.
What can my clients see when they log in to Karbon for Clients?
Attachments are automatically stored and filed against the corresponding jobs the moment a client sends them.
Automatically store and organize documents against clients and jobs.
Share, assign and comment on emails across your team.
Reminders
Includes everything in Team, plus: Automatic Client Reminders.
Automatic Client Reminders is on the Business card, under Includes everything in Team, plus. It is not on the Team card. The comparison table marks that row off for Team and on for Business and Enterprise.
Stop chasing clients for missing information. Karbon sends task reminders for you.
Yes. You can send a client request from a workflow, and Karbon follows up on a schedule if the client hasn't responded. Reminders go out on the dates you set, so your team doesn't have to chase clients for bank statements or signatures.
MTD quarterly work
Karbon publishes a workflow template for the quarterly update.
This template supports the quarterly update process for clients under the UK’s Making Tax Digital (MTD) for Income Tax regime.
It includes steps for gathering client records, preparing quarterly figures, and submitting updates via the relevant software.
You can edit any saved template to fit your firm's specific needs.
When Karbon fits better
Karbon is the better choice if you want the firm's email, jobs, time, billing and payments in one product, clients log in to the portal, and your firm edits an MTD quarterly template. A sole practitioner should read the per-user price and the monthly line above.
When RecordsIn fits better
RecordsIn is the better choice if the job is the quarterly records chase, the client should reply to an email, and you want the practice price in pounds. RecordsIn does not track time, it does not bill your clients, and it does not provide a shared practice inbox.
